Securing grant funding is essential for EMS agencies looking to establish or expand community paramedicine programs. With the right approach, agencies can access financial support to enhance patient care, serve vulnerable populations, reduce hospital read missions and improve overall community health outcomes.
This tip sheet outlines key steps for identifying funding sources, meeting administrative requirements and submitting a strong grant application. By following these best practices, EMS leaders can increase their chances of securing the resources needed to sustain and grow their programs.

Tip #1 — Research grants
One of the first steps when applying for community paramedicine funding is to search for potential grant programs. Below are a few tips when finding the perfect match:
- Be strategic in your search. This begins with knowing where to look.
- Grants databases regularly track and update grant programs. There are free and fee-based databases available.
- State administering agencies are responsible for state-funded and federal pass-through programs. SAAs are also responsible for creating the solicitation and the application process. Ultimately, they decide who can apply and who is awarded, so be sure to research SAAs in your state.
- Segment your search. Divide your efforts into distinct categories such as federal, state and local programs, or foundations.
- Define your project. Tailor your search with a clear focus on the specific project you aim to execute.
- Build relationships. Establish and maintain strong partnerships with program contacts to enhance collaboration. This is especially in reference to working with foundations.
Tip #2 — Address administrative requirements
Address administrative requirements now! Ensure your organization’s registrations are up to date, as many grant programs require this as a prerequisite for applying. For federal grants, all applicants must have an active registration in the System for Award Management, SAM.gov. Additionally, states often have their own registration requirements. It is crucial to complete these administrative tasks ahead of time, or risk missing the application deadline.
Tip #3 — Secure approval
Secure your leadership’s approval early! Many grant programs require the approval of an authorized official to submit and receive awards. Be sure to obtain the necessary permissions from your organization’s authorized official and leadership team in advance. This will ensure that delays are avoided and no deadlines are missed.
Tip #4 — Collect the data
Gather both quantitative (numbers) and qualitative (stories) data to confirm the need in your application. A few key items to collect include:
- Demographics: Gather data on the target population your organization serves
- Financial information: Compile records, such as your operational budget or recent audits
- Organizational history: This includes your mission statement, background information and relevant community facts
Tip #5 — Submit and track for funding
After submitting your grant application, monitor the application portal for any additional requests for information or documentation from the grantor. Finally, be patient, as award notifications are generally made 4-6 months after the application is submitted.
