Providence College EMS (R.I.) Eliminates Overtime Costs After Implementing Aladtec’s Online Employee Scheduling System

This department saved approximately 25 hours in OT costs during their first full month of utilizing Aladtec’s EMS Manager - which more than justified the cost of the system

MINNEAPOLIS/ST. PAUL, Minn. - Switching from a paper calendar to a state-of-the-art online scheduling and workforce management system is a huge savings in time and money for Providence College EMS. In the past, investing in a scheduling system was not an option due to the costs involved; however EMS Manager is a subscription based program so it was deemed affordable.

The Office of Safety and Security, schedules 10 part-time EMTs to cover 8,000 people on the 105 acre campus. Since they are part-time, the EMTs can not work more than 32 hours per week and can’t work any 24 hour shifts.

“EMS Manager allows me to set parameters and it will let me know if I am about to schedule someone over their allowed hours,” says Koren V. Kanadanian, Director of Emergency Management. “EMS Manager also allows me to easily control overtime. For the first time ever, I was able to run an entire month’s schedule with NO scheduled OT. This saved us about 25 hours of overtime, which I estimate saved us at least $900.

“We chose EMS Manager because we have a very limited budget, it is priced fairly and it is also EMS based,” indicates Kanadania. “Since EMS Manager is a subscription based online software system it is easier to budget for and less of a burden on our annual budget.”

Kanadanian also says that it’s very convenient for the EMTs to put in their availability from home or work. In the past he had to pay them to come in for a monthly meeting to submit their availability. This saves him additional time and saves the department money in payroll expenses.

“I like the reporting features too, as I can go in and see how many hours each individual is scheduled for the month - it makes it easy for me to prove how equitable the hours are when someone complains that one EMT gets more hours than another,” Kanadanian concludes.
