AUSTIN, Texas - The Board of Butler County Commissioners approved Butler County EMS’s purchase of AdvanceClaim EMS billing software on Sept. 15, 2015. Butler County EMS Director Chad Pore proposed the change in the billing software platform with a goal of increasing efficiency and overall time savings. Combining multiple systems into one standalone product will allow this improvement.
“The programs we’re currently using, we’ve had for the past 15 years,” Pore said. “It’s a good system overall, but as they’ve continued to add features to it over the years, it’s become cumbersome, and now it takes an excessive amount of time to do our billing.”
Pore went on to explain that currently, his staff must toggle between three different programs to fulfill all of their billing tasks. In Pore’s search for a more efficient system that would offer his staff a streamlined approach by incorporating all of the required features into one platform, he approached MedaPoint about AdvanceClaim.

Features include automated NEMSIS import and batch posting, tools such as Back-'to-Ops’ for sending incomplete or inaccurate claims to operations for resolution, integrated financial forecasting tools, and enterprise-level security with cloud platform Microsoft Azure.
“After many discussions with MedaPoint,” said Pore, “we really feel that AdvanceClaim will make us more efficient and allow our staff to have more time to complete tasks they can’t do now.”
One example an integrated feature is intelligent insurance verification. Currently, when a claim is missing insurance information, Butler treats it as self-pay, setting into motion a search process: a series of three letters are sent to the patient. If there is no response, the claim undergoes a customer review, in which the billing staff must visit three different Websites to search for insurance. Claims without verification of coverage are sent to a collections agency as a final effort. With AdvanceClaim, that process is built in. At the beginning of the billing process, staff can run a single-click search to query the region’s top five payers to determine eligibility without ever leaving the system. External searches are eliminated.
In addition to the integrated features and remote updates, the pay-per-record pricing model was a selling point for Butler County EMS. MedaPoint agreed to lower the one-time implementation fee and adjust the per-record cost accordingly to accommodate the county’s budget.
